Food and Beverages

It is required that food and non-alcoholic beverages be provided and available for all in attendance throughout the party. The following foods are required: Purchased (not made) 5 pizzas per keg or a 6-foot sub sandwiches.

Other foods that could be approved as long as they are substantial and pass health codes: vegetables, breads, cheeses, meats, and other non-salty foods (substantial food is required if alcohol is being served). For non-alcoholic beverages you must provide 2 liters of beverage for every 20 expected guests or large amounts of water/lemonade/juice (5 gallon coolers are available for sign out in the Student Affairs Office.).

If you are not serving alcohol at your event, submit this form and return it to the Student Affairs Center 48 hours prior to the scheduled event start day/time.

Below are the names of at least two responsible members of the sponsoring group who will serve as Party Hosts throughout the event. Duties are as follows: (1) Be in charge of the event managing the crowd and noise level as needed; (2) Be in attendance and not consume alcohol or drugs throughout the event; (3) Assume responsibility for proper management and termination of the event according to college policies (Alcohol events have additional duties noted on page 2). Termination of the party involves, immediately: (a) Notifying those present that the party has ended; (b) Requiring that refreshments are no longer served and music is no longer played; (c) Discouraging members of the group and/or those in attendance from continuing the party atmosphere in the vicinity; and (d) Being responsible for clean up both at the event and in the nearby vicinity.

Availability or serving of alcoholic beverages other than beer, wine or champagne is prohibited at student events. To determine how much alcohol may be at a specific event, the following formula should be used:

1 keg = 25 wine/champagne bottles (750 ml only) = 6 cases of beer (30 packs = total of 180 cans) = 45 people over a 4 hour period of time

Guidelines:

  • Maximum of 5 kegs of beer (or equivalent amount of alcohol) per parties over 75 people.
  • 1 Party monitor is required for each keg ordered or for every 45 people expected at open parties only
  • 6 cases of beer or 5 gallons of wine limit for all campus apartments
  • Kegs, party balls and other common sources are not permitted in residences except Old Kenyon registered event
  • Number of kegs may be limited depending on the expected size and location of the party – under 75 people up to 2 kegs maximum.
  • Alcohol is only permitted in locations designated as party areas (Old Kenyon Lounges, Hanna Hall Lounges (50) except for lower level lounge (35), Leonard Hall Lounges (50), Peirce Pub, Apartment common rooms, fraternity lodges, Gund Commons, Weaver (75), Crozier Center for Women (75), and Alumni Dining Hall) or in the immediate vicinity outside such spaces. Other locations may be approved with permission of the Dean of Students (or designee).
  • Kegs must be kept in rubber, leak-proof containers. (Garbage cans from students' residences may not be used for this purpose.)
  • Kegs must be returned to the distributor by Monday immediately following the party.

Alcoholic beverages will be purchased using funds from what source?

Two party hosts agree to ensure the following provisions with regard to party management, serving alcohol, and clean-up:

  • Be in attendance, sober (not drinking), and responsible for observing the party policy throughout the entire event
  • Ask sober members to check IDs at the door (Proof of age and Kenyon ID unless specified guest)
  • Designate students under and over 21 at the door; verify no alcohol is brought into the party
  • Verify bartenders are sober (not drinking), at least 21 years old, and check under / over 21 at the point of service
  • Verify bartenders serve alcohol on a per person basis distributing not more than 1 serving at a time
  • Verify bartenders do not serve alcohol to those who appear to be intoxicated
  • Maintain appropriate quantity and quality of non-alcoholic beverages and food throughout the event
  • Work with Party Monitors to maintain safety of all persons in attendance at party; agree to follow Monitors' recommendations for correcting perceived safety risks
  • Maintain the space, watch for and identify persons responsible for vandalism or accept charges assessed
  • Contact Campus Safety in the event there are any concerns about a person's safety and//or other behavior
  • Verify that all hosts and bartenders have completed party host and/or bartender training
  • Help to prevent those who have consumed alcohol from driving a motor vehicle after the event
  • Help to prevent people from leaving the party with any alcohol; all cups in trash at door
  • Return taps, stereo equipment, and other party-related items
  • Return/replace all furniture and furnishings to pre-party locations
  • Maintain proper trash containers throughout the party; empty trash as needed
  • Arrange for cleaning supplies for post-party clean-up (brooms, mops, buckets, trash bags)
  • Remove decorations and clean-up party space (sweep and mop) and immediate vicinity outdoors immediately following party by returning it to the condition in which it was found (not next day)
  • Clean-up of hallways, bathrooms, exterior areas including streets, sidewalks, etc. along party “route”
